Document Management Specialist
Responsibilities:
Receiving, registering and forwarding letters, requests, notifications and other documents received from the Labour Inspectorate and other government authorities to the relevant departments
Preparing letters and documents to be submitted by the department to the Labour Inspectorate and other government authorities and maintaining their registration
Monitoring deadlines for incoming requests, collecting the required documents and information and ensuring that response letters are prepared and submitted on time
Organizing and archiving documents in both electronic and hard copy formats
Registering instructions, requirements and recommendations issued by the Labour Inspectorate and monitoring their implementation status
Preparing reports for management on documents that are in progress, overdue and completed
Supporting the collection and submission of documents required during inspections and audits
Ensuring that documents are stored confidentially, accurately and in accordance with established procedures
Maintaining electronic registers and execution schedules related to the department’s document management
Candidate Requirements:
Higher education
At least 1–2 years of work experience in document management, office administration, records management or a related field
Ability to prepare official letters and response letters
Understanding of official correspondence with government authorities
General knowledge of labour legislation and occupational health and safety
Good knowledge of MS Office, especially Word and Excel
Excellent written and verbal communication skills in Azerbaijani
Responsible, attentive and proactive approach to work
Preferred
Work experience in correspondence and document management with the Labour Inspectorate, State Labour Inspectorate or other government authorities
Job Details:
Official employment in accordance with the Labour Code of the Republic of Azerbaijan
Working schedule: Monday–Friday, 09:00–18:00
Lunch break: 13:00–14:00
